Step 1: Gather Required Information

Before proceeding, you need these details from your POP3 provider:

  • POP3 server address (e.g., pop.yourdomain.com)
  • Port (Typically 110 for non-secure, 995 for SSL/TLS)
  • Username (Your email address or provided username)
  • Password (For the POP3 email account)

Step 2: Add a POP3 Account in Gmail

  1. Open Gmail:
    • Log in to your Gmail account.
  2. Go to Settings:
    • Click the gear icon in the top-right corner, then select See all settings.
  3. Navigate to “Accounts and Import”:
    • In the top menu, click Accounts and Import.
  4. Add a POP3 Email Account:
    • Scroll down to the “Check mail from other accounts” section.
    • Click Add a mail account.
  5. Enter the Email Address:
    • A pop-up will appear. Enter your POP3 email address, then click Next.
  6. Configure the POP3 Settings:
    • Enter your username and password for the POP3 account.
    • For POP Server, enter the address (e.g., pop.yourdomain.com).
    • Port: Choose the correct port (usually 995 for SSL/TLS).

    Additional Options:

    • Leave a copy of the retrieved message on the server (Optional: If you want to keep emails on the original server).
    • Always use a secure connection (SSL): Check this if the server supports SSL/TLS.
    • Label incoming messages: You can choose to label these emails for easy identification.
    • Archive incoming messages: Enable this if you don’t want these emails in your inbox.
  7. Click “Add Account”:
    • Gmail will test the connection. If successful, your POP3 emails will start syncing into Gmail.

Step 3: (Optional) Send Emails Using the Same POP3 Address

  1. Choose if you want to send email via the POP3 address:
    • Select “Yes, I want to be able to send mail as [your POP3 address]” if you wish to send emails from that account via Gmail.
  2. Configure SMTP Settings:
    • Enter the SMTP server address (e.g., smtp.yourdomain.com).
    • Enter the username and password (same as the POP3 account).
    • Choose Port 587 (for TLS) or 465 (for SSL).
  3. Verify Your Account:
    • Gmail will send a verification email to the POP3 address. Check your POP3 inbox and click the confirmation link or enter the code in Gmail.

Troubleshooting Tips:

  • Ensure your POP3 server settings are correct and allow external access.
  • Disable any security restrictions (if needed) that might block Gmail from accessing your POP3 account.
  • If authentication fails, verify the username and password or try using an app password if two-factor authentication (2FA) is enabled.

After this setup, Gmail will periodically fetch emails from the POP3 server.
